Candidate / Worker Registration Data

When you register as a worker via our website, we collect:

• Full name, phone number (including WhatsApp number where provided), and email address
• UK postcode and preferred work regions
• Trade or speciality
• Right to work status in the UK
• Years of construction experience
• CSCS card status and any additional tickets or qualifications
• Availability to start work
• English language level
• Preferred employment type and expected rate
• Any additional information you choose to provide

Client / Contractor Enquiry Data

When you submit a staffing enquiry as a contractor or employer, we collect:

• Contact name, company name, phone number, and email address
• Trade(s) required, number of workers needed, and site location
• Required start date, contract duration, and CSCS requirements
• Any additional requirements you provide

Contact Message Data

When you use our general contact form, we collect your name, email address, phone number (if provided), and the message content you submit.

Technical Website Data

We may also collect standard technical data such as your IP address, browser type, device type, and pages visited. This includes data collected via Google Analytics 4 (GA4), which we use to measure aggregate website usage — page views, session duration, and traffic sources. No personally identifiable information (name, email, phone, or form content) is sent to Google Analytics. This data is also processed through our hosting infrastructure (Netlify) for website security and performance purposes.

3. How We Collect Data

We collect personal data directly from you when you:

• Complete and submit the worker registration form at /find-work
• Complete and submit the staffing enquiry form at /hire-staff
• Submit a message via the contact form at /contact

We do not collect data from third-party data brokers or social media platforms unless you have directed us to specific content.

4. Why We Use Your Data and Our Lawful Basis

We rely on the following lawful bases under UK GDPR:

Worker registrations

• Consent (Article 6(1)(a)) — you give consent by ticking the GDPR consent box on the registration form. You may withdraw consent at any time (see Section 9).
• Steps prior to entering a contract (Article 6(1)(b)) — processing your registration details is necessary to assess your suitability and take steps towards placing you in work, at your request.
• Legitimate interests (Article 6(1)(f)) — we have a legitimate interest in maintaining a worker register and contacting registered candidates about suitable opportunities. This use is proportionate and does not override your rights.

We use worker data to:

• Match you with suitable construction work opportunities
• Contact you when relevant site roles become available in your area
• Maintain our active worker register
• Share your details with potential hirers or contractors where relevant to a specific work opportunity (see Section 7)
• Comply with right-to-work verification and employment legislation

Client and contractor enquiries

• Consent (Article 6(1)(a)) — you give consent by ticking the GDPR consent box.
• Steps prior to entering a contract / performance of a contract (Article 6(1)(b)) — processing is necessary to respond to your staffing request and provide recruitment services.
• Legitimate interests (Article 6(1)(f)) — we have a legitimate interest in managing our client relationships and following up on staffing enquiries.

We use client data to:

• Respond to your staffing requirements
• Source suitable candidates from our worker register
• Provide ongoing recruitment support

Contact messages

Lawful basis: Consent and Legitimate interests. We use contact form data solely to respond to your enquiry.

5. Sharing Candidate Data with Potential Hirers

Where you are a registered worker candidate, we may share relevant details from your registration (such as your name, contact number, trade, experience, CSCS status, and right-to-work status) with construction contractors or employers where we have a specific work opportunity that may be suitable for you.

We will only share candidate data in the context of a genuine recruitment opportunity. We do not sell candidate data to third parties. We do not share candidate data for marketing purposes.

6. Service Providers and Data Storage

We use the following third-party services to operate our website and CRM:

• Google Firebase Firestore — form submissions and candidate/client records are stored in Firestore, a cloud database operated by Google. Servers are located within the European Economic Area (EEA). Google processes data under its standard contractual clauses and GDPR-compliant data processing terms.
• Google Sheets — we maintain a backup of approved timesheet and selected records in Google Sheets, accessible only to Trade Force UK staff.
• Google Fonts — we use Google Fonts to load website typography. This involves a connection to Google's servers on page load.
• Netlify — our website is hosted on Netlify, a US-based cloud platform. Netlify processes access logs and serves website files. Netlify is covered by standard contractual clauses for international data transfers.

Access to all systems containing personal data is restricted to authorised Trade Force UK personnel.

7. International Data Transfers

Some of our service providers (including Netlify) operate infrastructure outside the UK and EEA. Where personal data is transferred internationally, we ensure appropriate safeguards are in place in accordance with UK GDPR, including reliance on the UK's International Data Transfer Agreement (IDTA) or equivalent adequacy mechanisms where applicable.

8. How Long We Keep Your Data

• Worker registrations — retained for up to 2 years from the date of registration, or until you withdraw consent and request deletion.
• Client enquiries and records — retained for up to 3 years for business records and dispute resolution purposes.
• Contact messages — retained for 12 months unless you become an ongoing client or worker, in which case your data is retained within the relevant record.
• Technical / access logs — retained for up to 90 days by our hosting provider for security purposes.

After these periods, data is deleted unless we have a legal obligation to retain it (for example, under tax or employment law).

9. Your Rights Under UK GDPR

You have the following rights regarding your personal data:

• Right of access — you can request a copy of the personal data we hold about you.
• Right to rectification — you can ask us to correct inaccurate or incomplete data.
• Right to erasure — you can ask us to delete your data ("right to be forgotten"), subject to any legal obligations to retain it.
• Right to restrict processing — you can ask us to restrict how we use your data in certain circumstances.
• Right to data portability — you can request your data in a structured, machine-readable format where technically feasible.

We will respond within one calendar month of receiving your request. We do not charge a fee for reasonable requests.

10. Cookies and Tracking Technologies

This website uses a minimal number of cookies and similar technologies. We do not currently use advertising cookies, social media pixels, or third-party analytics trackers.

If we introduce analytics or marketing cookies in future, we will update this policy and our Cookie Policy, and implement a consent mechanism before loading non-essential cookies.

11. Data Security

We take reasonable technical and organisational measures to protect personal data from unauthorised access, alteration, disclosure, or destruction. These include access controls on our database and CRM systems, HTTPS encryption across the website, and limiting access to personal data to authorised staff only.

No method of electronic transmission or storage is 100% secure. In the event of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify the ICO within 72 hours and affected individuals as required by UK GDPR.

12. Recruitment-Specific Notices

In accordance with the Employment Agencies Act 1973 and the Conduct of Employment Agencies and Employment Businesses Regulations 2003:

• Trade Force UK does not charge work-seekers for finding or seeking to find them work.
• Registration with Trade Force UK does not guarantee that you will be offered or placed in work.
• Submitting a contractor staffing enquiry does not guarantee that suitable workers will be available.
• Candidates should not submit false documents, false right-to-work claims, or false qualification details. Doing so may result in your registration being removed and may have legal consequences.
• Before placement, we may request verification of your right to work in the UK and any claimed qualifications or cards (e.g. CSCS card).

13. Complaints

If you believe we have not handled your personal data correctly, you have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority for data protection.
